Talent Acquisition Early Careers Coordinator – Assessment (9- month FTC)About the teamRSM’s Talent Acquisition Department (TA) is spread across the UK and plays a crucial part within the firm nationally. We are responsible for the co-ordination, management, and strategic direction of the business’ recruitment across Early Careers and Experienced & Executive hiring. If you wish to sit at the heart of a collaborative and innovative organisation where you can make a positive impact daily, our team is where you should be!About the roleWithin Early Careers (EC), we focus on the recruitment of graduates and school leaves for our trainee programmes, which offer study support towards one or more relevant professional qualification(s), in addition to a variety of work experiences such as Work Shadowing, Internships and an Industrial Placement.As a TA Co-ordinator, you will be integral to EC achieving high-volume recruitment whilst ensuring the delivery of an excellent service to all involved within the hiring process. You will be a key and reliable contact for applicants as they undertake our Virtual Assessment Centre (VAC) and progress through the final stages of the process. During this, you will provide prompt and high-quality communications over the phone and email to create an environment where candidates are positively engaged and most likely to perform at their best and accept an offer, thus facilitating quality of hire. The variety of queries and projects will challenge you every day, helping you expand your capabilities and grow professionally.Responsibilities:
- Maintain contact with candidates from VAC confirmation to the end of their recruitment process, developing rapport and acting as a RSM ambassador.
- Host VACs, cultivating a welcoming and supportive environment where candidates can learn about the firm and Service Line, and ensuring assessments are completed in a timely fashion with minimal disruption.
- Handle logistics relating to the successful running of VACs, including:
- Sending VAC placeholders to assessors.
- Assigning available assessors to confirmed candidate(s).
- Setting up VAC schedules utilising TopScore.
- Sending engaging and informative confirmations to candidates.
- Sending clear and informative confirmations to assessors.
- Attend debriefs following VACs to collate feedback, record decisions and take appropriate actions.
- Provide tailored feedback to candidates regarding their VAC performance, outlining next steps (if appropriate).
- Liaise with the central TA Co-ordinators and members of the business, including hiring managers and local partners and support staff regarding the arrangement of Final Interviews for those who have passed VAC stage.
- Share applicants’ contact details with local hiring managers for the purposes of relaying verbal offers and maintaining engagement post-offer acceptance, as appropriate.
- Draft and send offer letters to successful applicants, following up with the candidate regarding their decision and/or any questions they may have.
- Regularly and accurately update the VAC Calendar(s) and EC Tracker(s) which is crucial in enabling real-time reporting for EC and business updates.
- Know the number of VAC and Final Interview invitations and confirmed candidates, as well as drop-outs, articulating them clearly to your line manager, EC Manager and other members of the business upon request.
- Phone and email candidates, answering questions and/or requesting additional information, whilst exemplifying excellent customer service and following guidance regarding reasonable adjustments when suitable.
- Develop and maintain a strong knowledge of RSM, our Service Lines and the EC roles available as well as the associated professional qualification pathways.
- Build and maintain good knowledge of EC processes and recruitment policies in order to follow best practise.
- Make full use of the technology available, including RSM’s in-house Applicant Tracking System (ATS), our Customer Relationship Management System (CRM) and the external VAC tool (TopScore), to ensure the smooth running of the VAC and the recording of key actions, resulting in accurate reporting.
- Action any redirected queries from the group EC inbox.
- Proactive involvement in EC-, TA-, and firm- wide initiatives and projects.
This is a fantastic opportunity to join an established but creative team at an exciting part of the journey, working on a hybrid basis, thus reaping the rewards of being at home and in the office on a weekly basis. Whilst not an entirely remote position, this role affords good agile and flexible working. Due to the location of existing team members and business needs, ideally applicants will reside near one of the following offices:
- Birmingham
- Glasgow
- Edinburgh
- Manchester
You will also have the chance to visit other offices nationally but, wishing to minimise our carbon footprint, this will likely be occasional (up to twice a year).About the ideal candidateThis role is suited to someone who enjoys working in a fast-paced environment, undertaking multiple tasks and balancing several key priorities with varying deadlines. You will work proactively, reactively and flexibly in order to manage and support applicants through the VAC, Final Interview and offer stages of the recruitment process, using your initiative and fulfilling an exceptional candidate journey. Prior experience in an administrative, logistics and/or customer service role is ideal, with involvement in recruitment being beneficial. Good knowledge of Microsoft packages with an enthusiasm to learn and embrace new systems are necessary.The following competencies are also very important:
- Communication and interpersonal skills – communication is key within the role as you will liaise with an array of internal and external people via email, phone, MS Teams and in person, requiring tact and diplomacy.
- Confidence – being confident around people of all levels is important given the regular liaison with various individuals from Assistants to Partners, all of whom will value your opinion.
- Organisation – the ability to organise and prioritise is imperative as you will need to “juggle” tasks and priorities.
- Discretion – the ability to maintain confidentiality is important as you will be privy to information such as individuals’ personal details.
- Drive – having the drive to embrace and fulfil team and individual goals and visions is vital.
